PMI DEP automator

Data Exchange Program

a few questions to consider about your membership and online services

  1. Does it take more than 15 minutes for you to manage the membership and profile information of your members?
  2. Do your members call you to check on their membership status and get access to your website?
  3. Do you update your member information database manually?
  4. Do you fetch your new member information from PMI very infrequently?
  5. Do you find it time-consuming to manage and communicate with new members, renewing members, members with expired membership?

If you have answered 'Yes' to any of these, we have a solution for you to consider.

Our solution

We created a software application for PMI chapters. This DEP Automation software takes all of the pain out of keeping your online website membership records up-to-date automatically. It also generates communications to your members automatically when they join, renew, or when their membership are nearing expiration.

What does this application do for you?

  1. It gets real time membership extracts from PMI using web services.
  2. It analyzes information about every member from the extract file. For every member in the file, it decides if the member is new or is renewing or nearing their expiration. In summary, it synchronizes the members in PMI with those in the local chapter's database.
  3. It sends emails to new members, members who are renewing and notifies you of members who were denied access.
  4. It also sends emails to members whose membership is about the expire to let them know it is time to renew.
  5. It has excellent logging, provides summary statistics for the run, does housekeeping, and more.
  6. It is very configurable and reasonably priced.

Advantages of deploying the software

  • The administrator can be more productive by focusing on other important, pressing issues instead of synchronizing the members database with PMI.
  • Your chapter members will have immediate access to the chapters website.
  • There will be no data entry errors.
  • The most important advantage is that your website can distinguish between members and non-members.
Once your website knows who is a member, you can unleash a breadth of services which you thought would be difficult or simply did not have time to implement. This includes member only event discounts, member only file libraries, member surveys, and much more! Many of these services can be implemented for little or no cost if you use a Content Management System (CMS) like Joomla.

Has any PMI chapter deployed it and using it?

The software is already in successful operation at two PMI Chapters, Southern New England Chapter with more than 1500 members and PMI Mass Bay Chapters with more than 2300 members.
